We are seeking a highly organised and detail-oriented Scheduler to coordinate appointments and manage schedules efficiently within our office environment. The ideal candidate will possess strong administrative skills, excellent communication, and proficiency in various computer programmes. This role is essential in ensuring smooth daily operations and effective time management across departments. The Scheduler will work closely with team members to prioritise tasks, maintain accurate records, and facilitate seamless scheduling processes.
Duties
- Organise and maintain appointment calendars using Microsoft Office
- Coordinate schedules for multiple departments, ensuring optimal utilisation of resources and personnel.
- Make a high volume of calls to property tenents to gain access and availability to the property
- Manage incoming calls with professional phone etiquette, responding to enquiries and rescheduling appointments as needed.
- Assist with administrative tasks including filing, photocopying, and preparing documentation for meetings.
- Monitor and update schedules regularly to reflect changes or cancellations promptly.
- Liaise with team members to confirm appointments and ensure all relevant information is communicated effectively.
- Support other administrative functions to facilitate overall office efficiency.
Skills
- Proven scheduling office experience with strong organisational capabilities.
- Proficiency in computer skills including Microsoft Office (Word, Excel, Outlook)
- Strong organisational skills to prioritise tasks effectively under pressure.
- Good phone etiquette with the ability to communicate clearly and professionally.
- Previous clerical or administrative experience preferred.
- Ability to adapt quickly to new software programmes and office procedures.
